AI email triage · Now in pilot

Every email, to the right person.

Ravenclerk reads every email that arrives in your shared inbox, understands what it's about and sends it to the right person or team in moments. Less time sorting, faster replies, and nothing left sitting unread.

Works behind the inbox you already have, on your own Microsoft 365. Nothing changes for the people who email you.

02 · Why Ravenclerk

Less sorting. Quicker replies. Nothing missed.

A shared inbox works best when every email has an owner from the moment it arrives.

01

Hours back for your team

Nobody has to read every email just to decide who it's for. Ravenclerk does the first read and the forwarding, so staff spend their time on the replies.

02

Faster replies

Emails reach the person who can answer them within moments of arriving, rather than waiting until someone gets round to the inbox.

03

Nothing missed

Every email is sorted and logged. Anything Ravenclerk isn't sure about goes to a review queue, and cover rules stop emails waiting for someone who's away.

03 · How it works

Three steps, and your team keeps control

Ravenclerk connects to a shared mailbox you already use. Customers, parents and suppliers keep emailing the same address.

  1. Connect your mailbox

Your IT administrator approves Ravenclerk in Microsoft 365 and limits it to the shared mailboxes you choose. Your mail stays in your own tenant.

  2. Read and understand

Ravenclerk reads each new email in full and works out what it's about, how urgent it is and how confident it is in that decision.

  3. Sent to the right person

The email is forwarded according to your rules, to a person, a team or another system. Anything unclear goes to a review queue for a person to decide.

04 · Customise

Set it up the way your organisation works

Ravenclerk starts with a ready-made template for businesses or schools. You can then change almost everything.

01

Your own categories

Add, rename or switch off categories, and describe each one in plain English with a few examples. Ravenclerk uses your descriptions to decide.

02

Rules you control

Route by category, sender, domain, keyword, attachment or time of day. Send to a person, a team, or another system's email address. Change rules at any time.

03

Confidence thresholds

Decide how sure Ravenclerk must be before it forwards on its own. Anything below the bar goes to the review queue instead.

04

Priorities and key contacts

Choose what counts as urgent and who your important senders are, so those emails rise to the top. Sensitive emails can be flagged for a named person.

05

Cover and rotas

Redirect a route when someone is on leave or off sick, so nothing waits in an empty inbox.

06

Review queue and log

People make the final call on anything unclear. Every decision and settings change is recorded, so you can see why an email went where it did.

Ravenclerk is in pilot. Some of these options are being built with our first pilot organisations. We'll be clear about what's live today when we speak.

Google Workspace

Gmail support is on our roadmap. If you use Google Workspace, tell us and we'll keep you posted.

06 · Security and UK GDPR

Built with UK GDPR in mind

Your mail stays in your Microsoft 365 tenant. Email content is processed in memory rather than stored, your emails aren't used to train AI models, and pilot organisations receive a Data Processing Agreement for their DPO. Read our privacy notice.

07 · Pilot programme

Help shape Ravenclerk

We're working with a small number of UK businesses and schools to shape Ravenclerk. Pilot organisations get:

  • Hands-on help connecting Microsoft 365 and setting up categories and rules
  • A Data Processing Agreement and DPIA template for your DPO
  • A direct line to the person building the product
  • A say in what we build next
Pilot pricing

Pricing is per mailbox, not per user, and is agreed with each pilot organisation. Get in touch to talk it through.

08 · FAQ

Common questions

Do we have to change inbox or helpdesk?

No. Ravenclerk works behind your existing shared mailbox and forwards emails to people, teams or other systems' email addresses. Your team keeps working in Outlook or your current helpdesk.

How long does it take to set up?

We start from a ready-made template for businesses or schools, adjust the categories and rules with you, and run it in review-only mode first so you can check its decisions before anything is forwarded automatically.

Can we change the categories later?

Yes. Categories, rules and thresholds can be changed whenever your teams, products or staff change.

What if the AI gets it wrong?

If Ravenclerk isn't confident, the email goes to a review queue for a person to decide, rather than being guessed. Every decision is logged so you can see what happened and adjust your rules.

Does it reply to people automatically?

Not by default. Ravenclerk is built to route emails. Any acknowledgement messages use only wording you have approved.

Do we need Microsoft 365?

Yes, for now. Google Workspace support is coming soon, so let us know if you'd like it.
